The following is agreed upon between the Education Department at the Evergreen Aviation and Space Museum and its staff (the “Museum”) and the youth participating in our Camps (the “Campers”) as well as their guardians who purchase them (the “Guardians”).
Camps include but are not limited to:
- Single-Day Camps (e.g. year-round Day Camps, Single-Day Offerings on Week-Long Camps)
- Week-Long Camps (e.g. Spring Camps, and Summer Camps, offered either in single-day or week-long options). Note: Single-Day Offerings on Week-Long Camps may be subject to the same policies on cancellation and rescheduling as the Week-Long Camps.
- Other Options (e.g. Weekend Camps, After-School, Evening, etc.)
1. Registration and Payment
a. Early Bird Pricing. For Guardians, we generally offer a less expensive option for camps and encourage others to purchase early. This gives us more time to prepare in advance and determine whether we may need to cancel a Camp due to low enrollment.
i. Single Day Camps – Early Bird ends approximately five (5) business days prior to the start of camp. Afterwards, the price increases to its Regular Rate, which is available until approximately three (3) business days prior to the start of camp.
ii. Week-Long Camps – These camps often offer a Super Early Bird option (6-8 weeks prior to the start of the first camp) as well as an Early Bird option (2-4 weeks prior to the start of camp).
Payment for all camps is exclusively via an online portal (e.g. SimpleTix, Eventbrite, etc). We request the completion of a brief questionnaire to prepare us for any particular needs with the camper (known allergies, emergency contacts, behavioral needs, special accommodations, etc.). Lunch may also be purchased as well.
d. Camp Snacks and Lunch. The Museum provides snacks twice a day for Campers to maintain their mood and focus throughout the day. Campers are welcome to provide their own snacks and consume them during breaks, and they may waive having a snack provided by the Museum.
Lunch provided by the Aviation Cafe can be purchased in advance for single-day or week-long campers. While we will do our best to accommodate for any dietary restrictions, the Aviation Cafe cannot guarantee meals that may not have been exposed to allergens or other unwanted ingredients. In such cases, we recommend that families provide their own meals and snacks to camp.
e. Price Changes. Prices may vary for camps at the sole discretion of the Museum. The Museum may also release promotional codes and discounts at its discretion. In general, only one code may be used with each purchase of a camp spot at a time.
Cancellations and Refunds
Cancellation requests must be submitted from Guardians in writing. Refund eligibility and amounts depend on the type of camp and cancellation date:
Single-Day Camps:
- Three (3) Business Days Prior: full refund of enrollment and meals eligible.
- Within 3 Business Days: credit permitted to apply to any camp within 180 days of the date of cancellation.
- After Start of Camp: no longer eligible for refund or credit.
Week-Long Camps:
- Five (5) Business Days Prior to the Start of the Camp Season: full refund eligible of enrollment and meals.
- Within Five (5) Business Days to the Start of Specific Camp: 50% refund of amount spent OR full transfer credit to a future camp within 180 days of the start of camp.
- After Camp Begins: no cash refund, but potential transfer credit based on unattended camps to a future camp within 180 days.
Refunds may not include any additional fees incurred by the platform used to purchase enrollment or any other platform.
The Museum reserves the right to cancel or reschedule any camp at any time due to low enrollment or unforeseen circumstances (inclement weather, schedule conflicts, emergencies, etc.). In such cases, participants will be notified and offered alternatives or refunds, depending on the circumstances.
3. Camp Conduct
All Campers are expected to behave with utmost respectfully toward Museum staff, volunteers, and other attendees. Disruptive, unsafe, or inappropriate behavior by anyone may result in removal from the camp without refund and risk losing permission from camp participation in the future. We go over these rules at the start of every camp:
(A) Be Kind, (B) Be Engaged, (C) Be Respectful.
While in the classroom, the Camper is expected to follow the direction and classroom management of the Instructor. All instructors are trained to maintain order and discipline in the camp, but if a situation is deemed too disruptive to the overall quality of the camp, they are dire
If the Instructor requires the Principal (typically the Director or designated equivalent), the Camper will be given one warning to correct their behavior. Afterwards, the Principal will contact the Guardian and Camper may be subject to temporary or permanent removal from the camp and potentially future camps.
While on the Museum floor, we ask that Campers adhere to the rules:
- Walk, do not run while in the Museum.
- Ask permission from staff or volunteers to touch any exhibits, otherwise they are only to be observed, not touched.
- Covered water beverages are allowed, but no food, gum, or drinks except in designated areas (lobby, cafe, mezzanine dining areas).
- Low talking or whispered communication required (no shouting or loud noises that will echo in the museum).
- No perceived disrespectful activity that may cause injury or damage to anyone or Museum property allowed at any time.
The Museum reserves the right to remove any Camper from the Museum for any reason due to conduct or disciplinary reasons without any refund.
4. Health and Safety
The safety of all Campers is ultimately the responsibility of the Education Director. In the event of any serious emergency involving the Campers or the entire , both the authorities and Guardians will be notified by the designated Principal.
In the case of a medical emergency, we request that Guardians disclose any relevant medical conditions, allergies, or special needs about their Campers prior to the event via our questionnaire.
By attending, Campers and Guardians acknowledge that they are physically and mentally able to participate and agree to follow all safety instructions for themselves, other Campers, and the Museum staff and volunteers.
Depending on the circumstance and time remaining, Guardians of Campers who leave due to illness or injury may receive a prorated refund or credit on their camp.
5. Assumption of Risk
While we do all we can to minimize or eliminate any dangers to campers, participation in Museum camps may involve inherent risks related to movement, activity, or consumption. By registering, Campers and Guardians voluntarily assume all risks associated with participation.
6. Liability Waiver
To the fullest extent permitted by law, participants agree to release and hold harmless the Museum, its staff, volunteers, and partners from any liability, claims, or damages arising from participation in camps.
7. Emergency Medical Authorization
In the event of an emergency, Guests authorize Museum staff and volunteers to obtain necessary medical treatment on their behalf. Guests are responsible for any resulting medical costs.
The Museum will request Guardians to sign a Medical Waiver Form to specify medications and ways that staff may provide medical treatment. We will request any requests as specified by the parameters of that form.
8. Transportation
The Guests are generally responsible for transportation to the Museum, whether via bus or personal vehicles. The Museum has more than ample parking to accommodate multiple buses and vehicles. Personal vehicles may park anywhere in the general lot.
Please communicate to the Museum is there are any changes, delays, or interruptions to the Guests’ ability to arrive. Unless otherwise notified, the Museum will wait for late or tardy Campers for up to one (1) hour. Afterwards, the Museum will consider the Camper absent for the day with the day not eligible for refund or credit.
Unless otherwise specified, Guardians are requested to drop off Campers at the Titan Pavilion for single-day camps and the Aerodrome Theater for week-long camps. Camps generally conclude at the Playground at the Titan Pavilion or inside the Titan Pavilion lobby if weather is inclement.
9. Photography and Media Release
Unless otherwise specified in writing or explicitly requested, the Museum grants and requests permission to to capture photographs, video, or audio recordings taken during the camp to be used for promotional, fundraising, and educational purposes.
The Museum will request every Guardian to sign a release prior to the start of camp. If a Guardian opts out of the release, we will note that and take proactive measures to ensure that the Camper is not captured in any media with the Museum.
10. Personal Property
Campers are responsible for their personal belongings. The organization is not liable for lost, stolen, or damaged items.
If any item is deemed too distracting or disruptive to the Camp (e.g. cell phones, games, etc.), the Camper will be asked to put it away until the end of camp or during designated periods. If the disruption happens frequently, the item may be confiscated until the end of camp and returned to the Guardian.
11. Changes to Program
Camps involve a lot of planning, but circumstances often require tactical adjustments. The Museum reserves the right to modify schedules, locations, or activities as necessary. All changes that impact the Guardian may be communicated in writing.
12. Agreement
By purchasing this Camp spot, the Guardians (on behalf of their Campers) acknowledge that they have read, understood, and agreed to these Terms and Conditions.
